Job Title: Administrator

Employment Type: Employee, Full-time

Level: Mid-level

 

Job Purpose

Oversee the administration and management of Dreams By Janice business operations. 

 

Specific Duties Administration

  • Manage client address book and contact list

  • Research on other art programs and after school program (pricing, payment methods)

  • Identify and manage corporate accounts

  • Update programs calendar

  • Monitor AirBnB inquiries

  • Run reports

 

Finance

  • Review invoices for independent contractors and other vendors and draft checks for signature

  • Draft contracts for Independent Contractors

  • Review receipts and update budget

  • Ensure checks and petty cash are secured

  • Review payments received by clients, and compare with calendar

  • Help prepare payroll for Dreams by Janice Employees

 

Programs

  • Manage inventory, including purchasing new inventory, monitoring inventory, and seeking best prices

  • Manage printing of new materials

  • Review bank statements and reconcile bank accounts

  • Track income by program area

  • Help update quarterly budget projections and expenses

  • Assist in scheduling contractors for classes

  • Assist in the management of all special events

 

Reporting

Reports to the Dreams by Janice Creative Director and/or President.

 

Qualifications

Must have at least 5 years of experience as an office manager or senior administrative assistant in a professional office setting. Must be excellent as using Microsoft products (Word, Excel). Must be excellent at multi-tasking and paying close attention to details. Previous experience with managing payroll or HR, a plus. Must be very personable, a fast learner, an excellent typist, and a strong manager.

Administrator

Job Title: Marketing and Social Media Intern

Employment Type: Intern, Part-Time

Level: Entry-level

Job Purpose

Coordinate and execute the company’s social media strategy, working across key social media channels; develop marketing materials and help to manage all photography for the company.

 

Specific Duties:

Website

  • Collect and write bios for all interns, consultants and employees, and post to the website

  • Update website content as requested

  • Understand Wix.com Formating

 

Social Media & Marketing

  •  Assist in updating/developing the social media strategy

  • Make posts to social media accounts, including but not limited to Facebook, Instagram, Twitter, and LinkedIn

  •  Increase the number of Dreams by Janice social media network of contacts

  • Update, re-purpose, or develop new marketing content

  • Develop brochures, pamphlets, and signage as requested

  • Appropriate develops new materials using Dreams by Janice color palette, fonts, etc.

  • Help to distribute marketing content as needed

 

Photography

  • Take photos of special events or classes as requested.

  • Maintain a catalog of Dreams by Janice photos

  • File all photography and video waiver forms

 

Reporting

Reports to the Dreams by Janice Creative Director and/or President.

 

Qualifications

A high school junior or senior with a strong interest in a career in art, social media, or marketing. This individual must demonstrate maturity and ability to work in fun and professional setting, preferably with some previous work experience. Must be an excellent verbal communicator, good writer, and a fast learner. An outgoing personality is a must!

Marketing and Social

Job Title: Event Planner Intern

Employment Type: Intern, Part-Time

Level: Entry-level

Job Purpose

To produce and help manage on-site and off-site company events and ensure company participation in special events sponsored by local government and other organizations in the community.  

 

Specific Duties: 

  • Research market and identify event opportunities

  • Provide outstanding customer service and organizing memorable events that meet quality expectations.

  • Assist in the design, production, and execution of events within time limits

  • Organize facilities and manage all event details, including but not limited to decor, catering, entertainment, transportation, location, invitee list, special guests, and equipment

  • Work closely with the Social Media and Marketing intern as well as the creative director in the design and production of promotional materials.

  • Cooperate with the Social Media and Marketing intern to promote and publicize event

  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day

  • Conduct pre- and post-event evaluations and report on outcomes

  • Updates the corporate calendar updated with special events, business meetings, etc.

 

Programs

  • Assists in the preparation, execution, and clean-up of Dreams by Janice classes, as requested.

  • Prepare boards for painting classes

  • Provide input on Dreams by Janice lesson plans

  • Participate in Dreams by Janice strategy and business meetings

  • Assist with other office administrative work, as requested

 

Reporting

Reports to the Dreams by Janice Creative Director and/or President.

 

Qualifications

A high school junior or senior with a strong interest in a career in art, marketing, or event planning. This individual must demonstrate maturity and ability to work in fun and professional setting, preferably with some previous work experience. Demonstrates an ability to manage multiple projects independently. Must be excellent at time management and a good verbal communicator. Excellent writing skills a plus. Must have an outgoing personality!

Event Planner
Programs

Job Title: Instructor - Art Programs

Employment Type: Contractor, Part-Time

Level: Mid-level and Senior-level

Job Purpose

Develop lesson plans and execute classes, as needed, at the Dreams by Janice Art Studio and/or with corporate clients.  The specific program areas are painting, quilting, sewing, cooking, and arts & crafts.

 

Specific Duties: 

  • Demonstrates and ability to work in school and community settings, instructing students in the basic principles of art.

  • Ability to develop and articulate a complete art lesson plan for children and/or adults.

  • Deliver instructions to students in a clear, age-appropriate manner.

  • Teach students to express themselves to through the arts.

  • Provide an exciting classroom experience to students during art classes.

  • Teach students how to maintain art records and/or art portfolios.

  • Assess and evaluate and students’ work, and private effective constructive feedback.

  • Meet students’ instructional needs and goals in the arts subject.

  • Maintain and manage inventory control of art supplies and materials.

  • Promote upcoming classes being offered by the company.

  • Share announcements and/or events at the start or end of each class.

 

Reporting

Reports to the Dreams by Janice Creative Director and/or President.

 

Qualifications

Must have at least 5 years of art experience and at least 2 years of art instructional experience either in a formal or informal setting. Must be an outgoing, high-energy person with a positive attitude. Experience developing lessons plans a plus, and a willingness to learn a must. Excellent organizational skills and the ability to multi-task in a group setting.
